How to Use The CSV Bulk Editor

With Auctiva's CSV Bulk Editor, you can edit the price and quantity on thousands of products across multiple marketplaces with a single file upload. This tool is especially helpful for large multichannel sellers, drop shipping businesses and sellers who prefer to use a file system to manage their inventory. Here are the step by step instructions on how to use it.

Step 1: Download your Product Catalog Edit File or the Template Edit File

Once you've connected your seller accounts to Auctiva, your listings are automatically imported. Once your products are in Auctiva, you can then use the CSV Bulk Editor to edit the price and/or quantity of your active and inactive listings.

Go to the CSV Bulk Editor page within your Auctiva account. Hover over the "Products" tab, located at the top of the page (Figure 1A) and click on the "CSV File Import & Editor" link (Figure 1B).

On this page, use the toggle to select the CSV Bulk Editor tool (Figure 1.1).

If you need to edit the majority of your products, select the option to download your entire Product Catalog Edit File (Figure 1.2A). Or if you'd prefer, you can start with our Template Edit File (Figure 1.2B), which allows you to define the SKUs you specifically want to edit.

Step 2: Open the file and edit your products with Excel or similar program

Double click on the downloaded file to open it up (Figure 2).

Side Note: Generally Excel or similar file applications will open the file in the correct format, however sometimes the GTIN (UPC, EAN or ISBN) will not display in the correct format (Figure 2.1A). If you're using Excel and your file is showing GTINs like Figure 2.1A, simply select that entire column by clicking on the "C" cell (Figure 2.1B) and then use the Number formatting drop down menu and select "Number" (Figure 2.1C).

Additionally you may need to remove the decimal. To do that, just click on the symbol which indicates it will remove the decimal places (Figure 2.2A). Then you'll see your GTINs now display in the correct format (Figure 2.2B).

The Product Catalog Edit File will contain all of your active and inactive products, simply locate the products you need to make changes to and edit the price and/or quantity as needed.

Editing Price: Find column "D" with the label "price_usd" (Figure 2.3A). This is where you can edit your listing's sale price. For example, the price defined here (Figure 2.3B) will be submitted to all marketplaces for that specific product, once you upload the file back into Auctiva.

  • Editing Quantity: Depending on which inventory management setting your product is using, editing quantity should be done one of two ways.
    • If your product is using Auto-Synced Quantity: Find column "E" with the label "auto-synced_quantity" (Figure 2.4A). This is where you can edit your listing's available quantity. For example, the quantity defined here (Figure 2.4B) will be submitted to both eBay and Amazon for that specific product after you upload the file back into Auctiva. Lastly, ensure that the "allocated_quantity_amazon_listing" and "allocated_quantity_ebay_listing" cells are blank for that row.
    • If your product is using Allocated Quantity: Find column "F" and "G" with the labels "allocated_quantity_amazon_listing" and "allocated_quantity_ebay_listing". This is where you can edit your listing's available quantity for each channel independently. For example, the quantity defined here (Figure 2.5A) will be submitted to Amazon, and the quantity defined here (Figure 2.5B) will be submitted to eBay specifically. Lastly, ensure that the "auto-synced_quantity" cell is blank for products that are using Allocated Quantity.

If you want to change the inventory management setting for a specific product, you can also do that via the CSV Bulk Editor. For example, if you want to change a product's inventory management setting from Auto-Synced Quantity to Allocated Quantity, simply delete the value in the "auto-synced_quantity" column, and enter in the quantities you want submitted to eBay and Amazon by filling in the allocated cells. And vice versa, if you want to change a product's inventory management setting from Allocated Quantity to Auto-Synced Quantity, delete the value in the allocated columns and input a single quantity value into the "auto-synced_quantity" column.

Step 3: Save the file in the .CSV format

Once you've finished making all desired edits, save the file in a .CSV format. Go to "File" and select "save as" (Figure 3). Then be sure to save the file format as "Comma Separated Values (.csv)" (Figure 3.1).

Step 4: Upload the file back into Auctiva & you're done!

Simply drag and drop the edited file, back into the CSV Bulk Editor page. Locate the file on your computer (Figure 4A), then drag it over to the upload CSV file area (Figure 4B). That’s it! Our system will then publish the changes across all marketplaces.

Step 5: Verify the results

You can easily verify the results to make sure all changes were processed successfully. Scroll down to the bottom of the CSV Bulk Editor page to see your CSV Event Log. This section of the page documents the date, status and items processed.

Click the refresh button (Figure 5A) to get the current status on your CSV Bulk Edit. Check the "Status" column (Figure 5B) to see if your file completed, failed, or is still processing. When you see that your file has completed, click on the number (Figure 5C) in the Error Report column to view the details of why, if any, edits failed to publish.
